Paperless Payroll:  Reduce Your Carbon Footprint and Costs, and Increase Efficiency

Paper and payroll just seem to go together sometimes: Paper timecards or timesheets, paper forms such as the Forms W-4 and W-2, paper checks and paystubs, paper reports and returns. It seems like there is a never ending stream of paper with no way of stopping it. Or is there?

In reality you can stop, or at least slow down your use of paper in the payroll department. Going green not only reduces your department’s and thereby your company’s carbon footprint, but better yet, it also saves money. By getting rid of paper in your payroll processes, you can increase your department’s efficiency and decrease overall long term costs.

Some of the efforts needed to transition to a paperless payroll department will involve upfront costs, systems and your time to create and implement, while others can be done immediately by taking advantage of technological improvements offered by others.  But even introducing just a few of them will reduce the paper in your department. This session by expert speaker Vicki M. Lambert, CPP will provide you insights on how to go paperless in payroll to enjoy the benefits of decreased costs and increased efficiency.

  • Set up or revive your direct deposit program
  • Set up a paycard program
  • Go electronic on your timekeeping system
  • File quarterly returns or other required reports electronically where available even when it’s not mandatory
  • States which mandate e-file and e-pay for employers
  • Make electronic payments where available for such items as child support payments and tax deposits even when it’s not mandatory
  • Implement electronic income withholding order (e-IWO) for child support garnishments
  • Implement an electronic portal for employee self-service of Form W-4
  • Distribute Forms W-2 to employees electronically for the initial copy
  • Distribute all duplicate Form W-2 requests electronically
  • Create a process for submitting request forms (vacation requests, address changes) to payroll electronically where possible
  • Set up a website for payroll to handle all questions and forms
